The controller of your personal data is Scortun Agencja Prasowa - Maciej Chorazyk, based in Opole at ul. 1-maja 37/10, 45-069 Opole, Poland (hereinafter: "Administrator").

2. Categories of Collected Data

As part of using the PolSkaut service, we collect the following categories of personal data:

2.1. User data (account):

  • First and last name
  • Email address
  • Phone number (optional)
  • Password (encrypted)
  • User type (adult/minor/parent-guardian)
  • Date of birth (for minors)
  • IP address and browser technical data

2.2. Player data (profiles):

  • First and last name
  • Date and place of birth
  • Home address
  • Contact details (email, phone, parent's phone)
  • Citizenship and nationality
  • Sports data (position, height, weight, dominant foot, club, league)
  • Data regarding Polish connections (passport, citizenship, language)
  • Profile photo (optional, with separate consent)
  • Club and coach contact details (optional)

2.3. Third-party data:

  • Club contact details (email address)
  • Coach contact details (email address)
  • Parent/legal guardian data (name, relationship - for minor players)

3. Purposes of Data Processing

We process your personal data for the following purposes:

4. Legal Basis for Processing

We process personal data based on:

  • Art. 6(1)(a) GDPR - consent for data processing (e.g., player profile publication, photo use)
  • Art. 6(1)(b) GDPR - necessity for the performance of a contract for electronic services
  • Art. 6(1)(c) GDPR - necessity to fulfill a legal obligation
  • Art. 6(1)(f) GDPR - legitimate interest of the Administrator

Consent for personal data processing may be withdrawn at any time, which does not affect the lawfulness of processing carried out before its withdrawal.

5. Data Retention Periods

  • User account data: for the duration of the account and for 3 years after its deletion (for potential claims)
  • Player profile data: for the duration of the profile and for 3 years after its deletion
  • Consent data: for 6 years from granting or withdrawing consent (for evidentiary purposes)
  • Technical data (logs): for 12 months

6. Processing Children's Data

The PolSkaut service may be used to create profiles of minor players (under 18 years of age). In such cases:

  • A profile may only be created by a parent/legal guardian or with their written consent
  • We require parent/legal guardian data (name, relationship with the player)
  • The parent/legal guardian makes a declaration of consent for processing the child's data
  • The parent/legal guardian may withdraw consent and request deletion of the child's data at any time

Minors may independently create accounts in the service only with the consent of a parent/legal guardian, which is verified through a declaration made during registration.

7. Third-Party Data

When providing third-party contact details (club, coach), the user declares that:

  • They have consent from these persons to share their contact details
  • They have informed these persons about who the data controller is and the purpose of processing

Club and coach contact details are used solely to enable scouts and PZPN representatives to contact regarding the player.

8. Data Recipients

Your personal data may be shared with the following categories of recipients:

  • Scouts and PZPN representatives - regarding data contained in player profiles
  • IT service providers - entities providing hosting, maintenance, and technical support services
  • Email service providers - to the extent necessary for sending notifications
  • Government authorities - based on legal provisions, upon receiving an appropriate request

We do not transfer personal data to third countries or international organizations unless necessary for service provision (e.g., use of cloud services). In such cases, the transfer is based on standard contractual clauses approved by the European Commission.

9. Data Subject Rights

In connection with personal data processing, you have the following rights:

  • Right of access - you may obtain information about processed data and copies thereof
  • Right to rectification - you may request correction of inaccurate or completion of incomplete data
  • Right to erasure ("right to be forgotten") - you may request data deletion in certain cases
  • Right to restriction of processing - you may request restriction of data processing
  • Right to data portability - you may receive data in a machine-readable format
  • Right to object - you may object to processing based on legitimate interest
  • Right to withdraw consent - you may withdraw consent at any time

If you believe your personal data is being processed unlawfully, you have the right to lodge a complaint with the supervisory authority - President of the Personal Data Protection Office (PUODO), ul. Stawki 2, 00-193 Warsaw, Poland, https://uodo.gov.pl.

10. Information on Data Provision Requirements

Providing personal data is voluntary, however:

  • Providing data marked as required is necessary to create an account and use the service
  • Failure to provide required data will prevent registration or player profile creation
  • Providing optional data (e.g., photo, club contact details) is not required but may increase chances of scout interest

11. Privacy Policy Changes

The Administrator reserves the right to make changes to this Privacy Policy. Users will be notified of significant changes via email.
